Each term instructors must update their syllabi and the Academic Affairs Admin (AAA) is responsible for keeping the syllabi templates up to date in accordance with the University Senate syllabus template.
The AAA updates the syllabi templates each term and sends them to each instructor for the upcoming term. The AAA requests a final version of each course be sent back to them by a certain date. The final version syllabi and then saved in a folder by term. The syllabi templates are kept & updated by the AAA to "lock” (in Microsoft word) certain parts of the syllabi that are required by University Senate.
AAA sends a reminder email to all instructors for the coming term (usually about 1 month before the term starts). The email includes folders of all departments, with the syllabi templates (updated by the AAA ahead of time with any UK updates necessary). The instructors are asked to return the syllabi about 1 week before classes start with new term information & schedule.
AAA makes a tracking sheet (based on the term schedule) for the syllabi that are made, returned, and checked before they are saved in the Academic Affairs Teams site under “Syllabi” folders for the correct term. The AAA will update the sheet as the syllabi are returned and keep track of any that are not shared with them for reporting.
